You are responsible for booking your own flight. You will receive a reimbursement of up to $500 for airfare/mileage after completing all scheduled appointments. Once you confirm your arrival and departure dates, your hotel room will be reserved. You are responsible for any incidentals and will be asked to provide a credit card number for incidentals only.

What is a reverse tradeshow?
Our reverse tradeshow allows the sports event planners to meet with sports destinations interested in hosting their events during individual appointments based on their requests, as well as additional factors. Sports event owners sit at designated areas in the exhibit hall and sports destinations have 1-2 minutes to travel between appointments. A bell rings at the beginning and end of each appointment.
How much does registration cost?
Registration is free! Your only monetary investment is your annual membership fee ($100 per organization) and the cost of your flight, which will be reimbursed upon successful completion of your scheduled appointments.
Why do I have to pay a membership fee? Other conferences and tradeshows don’t charge fees to attend.
Unlike other tradeshows you may have attended, Sports ETA Symposium is the annual meeting for a not-for-profit trade association. Membership fees are required to gain access to many meaningful benefits, including the opportunity to take appointments at our annual meeting. Membership fees are a nominal investment and exhibit your commitment to the sports events and tourism industry.
What does travel assistance include?
Travel assistance includes up to four (4) nights at a host hotel (room and tax only, does not cover incidentals) and either airfare reimbursement (up to $500 including taxes and fees) OR mileage reimbursement (up to $400) plus self-parking at a host hotel parking garage (up to $100). You are responsible for booking your own airfare. Submit your flight itinerary and receipt no later than March 1, 2020 to Janis@SportsETA.org. Sports ETA staff will book your hotel room once you’ve submitted either your flight itinerary or mileage reimbursement request. A method of payment is required at booking for any incidentals. Sports ETA is not responsible for any incidentals charged to your hotel room during your stay.

When will I be reimbursed for my airfare or mileage?
Upon completion of your scheduled appointments, reimbursement checks will be available at registration and member services.
When does the appointment portal open?
The appointment request process will begin approximately 4 weeks prior to the event date. You will be notified via the email used during registration when the portal is open.
Is transportation covered?
Sports ETA covers up to $500 in either airfare or mileage reimbursement for qualified sports event owners. A Sports ETA staff member will contact you 4-6 weeks prior to the event to finalize all travel. Sports ETA does not cover parking or ground transportation expenses.
When will you book my hotel room?
You will receive an email confirmation from the host hotel for a secured room about two weeks prior to the event. It might show a room rate, but attending as a sports event owner, you will not be responsible for this charge. However, you will be asked to put down a credit card for incidentals when you check into your hotel. Incidentals are not covered by Sports ETA.
What is Sports ETA’s refund/cancellation policy?
A sports event owner is required to pay a fee to guarantee registration. Once a sports event owner completes all scheduled appointments, travel reimbursement will be issued. If a sports event owner misses any appointments or cancels attendance after the appointment portal opens, the deposit refund is forfeited and the sports event owner’s credit card on file will be charged the entire amount of the airline ticket. Sports event owners also forfeit their fee if the meeting qualification information presented to our staff is falsified, the data on the registration page is false or exaggerated, the sports event owner does not have any influence on the location or decision process of said meetings, or any misrepresentation by the sports event owner. If the sports event owner’s application is denied, the membership fee will be refunded.
